Executive Assistant to C-Suite

We have an exciting and dynamic role for an outstanding EA who is currently supporting at C-Suite and is looking for a fresh challenge, supporting 1:1 for a busy CFO.

The company are fast paced, have a wonderful atmosphere and are a high performing finance house and employees are supportive, team orientated and self-motivated to succeed, enjoying superb offices and working 4 days onsite and 1 from home, 8.30 - 5.30pm daily, with a little responsiveness out of hours as expected at this level, although not excessive.

The role is ideally suited to a candidate that understands the nuances of supporting at senior level and can happily negotiate a C-Suite inbox, initiating correspondence professionally and quickly and able to make decisions around it. Perhaps you are working currently for senior leadership within FS or for a big ticket PLC and understand the complexities and prioritisation required at this level.

Your primary focus is to join your stakeholders with their vision and be anticipatory, booking meetings and thinking ahead of the game and developing exceptional working relationships with your boss and the wider business. Having a keen business awareness and understanding is helpful around key company events in calendar, roadshows, year-end etc.

You should have exceptional diary management and the ability to take minutes and create agendas on an ad hoc basis and should be confident around assisting with event arranging on occasion.

The successful EA will be naturally adept at juggling priorities and understanding the pace of the role and be a very confident ambassador, with outstanding gate-keeping skills and a sparkling personality!

Duties:

Executive Business Support for CFO:

  • First point of contact for CFO, delivering a professional image for all internal and external contacts.
  • Responsible for proactive diary management, with an understanding of business context to enable appropriate prioritisation, action and accurate handling timeously.
  • Full inbox management, prioritising key actions, responses and responding where appropriate. Handling sensitive and confidential information efficiently, with discretion and accurately in a timely professional manner.
  • Coordinate and organise all CFO internal and external meetings, VC's and calls efficiently to capture all time zones, prioritisation, and re-arranging where necessary.
  • Able to set up and maintain accurate e-filing system, proofread confidential papers and accurately gather content/research to assist CFO and Finance team.
  • Building and maintaining strong working relationships both internally and externally and with other key contacts at all levels.
  • Arranging travel itineraries and accommodation in conjunction with the external travel team ensuring compliance with internal policies.
  • Monitor, track and actions tasks, escalating and delegating where appropriate.
  • Accurately processing invoices and expense management support through Concur and facilitation for ensuring payment terms are met.
  • Assisting with signature processes on documentation via DocuSign or as required.
  • Plc Board and committee - assist CFO with meeting deadlines for the submission of reports in line with plc board expectations including requesting information, proofing and formatting
  • Interim assistance to Company Secretary with uploading papers to Board online platform, and logistical plc items including but not limited to; drafting agendas, AGM, annual board date setting, setting meetings, arranging Board travel and CRM management.

Investor Relations

  • Assisting with the admin logistical co-ordination, including all roadshow's, presentations and meetings associated therewith in collaboration with Internal C-suite and Consultants.

Skills and attributes required

  • A demonstrable attitude towards managing highly confidential and sensitive information with discretion and integrity. Confidentiality.
  • Experience of supporting a C-Suite (CEO/CFO) within a Financial Services company highly desirable
  • Experience of supporting a board director and understanding of plc boards essential
  • Highly organised and able to prioritise effectively with minimal supervision.
  • Excellent MS Office, Concur, DocuSign and MS Teams skills.
  • Develop and maintain a good working relationship within the wider team to ensure the CFO is well placed to deliver their objectives
