Office Assistant/PA - London

We have an exciting opportunity for a candidate who thoroughly enjoys variety and who wants to be the lynch-pin for a boutique high end finance house, based in the West End.

We are looking for a candidate who will grab this opportunity and be an utterly willing and flexible hire, self-motivated and passionate about their job and the people they work with, wanting to become an integral part of the team, working five days onsite 9.00 - 5.00pm (with a little flex outside of hours as the business demands, but not excessive).

The role is for a superb Office Assistant/PA and my client, a historic finance house, have offices in the UK and internationally. They are a group of high performing and cohesive individuals who are utterly career committed and empowered to contribute to the development of the business. They are now looking to add to their workforce in London and hire a superb Office Assistant/PA who will be the 'go-to' person in the office and really enjoy being the true lynch-pin.

We are looking for a candidate with a sparkling personality who relishes a variety of administrative tasks and who will bring a real contribution to the office in everything they do! The successful applicant will arrange the events for the office and also be the welcome and first port of call for guests, so must be happy with setting up meeting rooms and welcoming visitors with warmth and professionalism. The role is for an individual who really loves to organise and enjoys all aspects of administration and has excellent Microsoft Office.

The role:

The purpose of the role is to ensure the smooth running of the office in London, adding value by independently managing many areas, including facility management, contracts management, landlord liaison, health & safety. You will also provide administrative support to our principals.

Reporting to one of our principals, your responsibilities will include:

Office Assistant duties:

* Facilities management and landlord liaison
* Ordering stationery, kitchen supplies and IT equipment
* Office contracts management
* Welcoming visitors
* Organising induction programmes for new employees
* Assisting the organisation's HR and finance functions
* Office bills and payment processing
* Health & Safety
* Insurances on company level
* Subscriptions and memberships

Administrative Support

* Effective management of diaries and the daily workflow for our principals
* Dealing with incoming and outgoing post
* Travel management for our principals
* Employee expense claims monitoring and processing
* Events management

Competencies

* Must be able to manage confidential information
* Excellent verbal and written communication skills
* Ability to work autonomously, confidently, and efficiently in a high paced environment
* Ability to work as part of a team
* Ability to interact with all levels of professionals and colleagues globally
* Excellent command of Office 365 suite
* Ability to grasp information quickly, taking appropriate actions when required
* Ability to prioritise and organise
