Our client is a well-established securities firm, seeking for a Personal Assistant / Office Manager to join their dynamic team.
Supporting the COO and serves as a liaison to senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.
Responsibilities:
- Supporting C-Level Executives
- Assists the team and with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings
- Keep proper track of work passes/visas dues to ensure sufficient time for renewal
- Support and schedule for any offsite/onsite meetings
- Establish good relationship with vendors and negotiate term contract for events
- Ensure compliance with internal policies as well as with provisions in Singapore Corporate Regulations, Statutory Reporting / Filing and corporate governance requirements.
- Preparation of e-filing documents for ACRA and IRAS stamp office
- Manage client relationships on an operational level, including understanding of client's business and service needs as well as interfacing with senior legal and corporate secretarial team members of clients
- Manage stakeholders across Accounting, Business Development, Finance, and Compliance teams to ensure internal controls are maintained at the highest standard
- Maintain office logistics / stationery / pantry / co-ordinate with service providers on payment and maintenance matters
- Handle all aspects of office administration and provide operational support
- Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
Qualifications:
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to details
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners
- Expert level written and verbal communication skills
- Demonstrated proactive approaches to problem-solving with strong decision-making capability

- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

- Bachelor's degree preferred
- Strong work tenure: minimum 5 years of experience supporting C-Level Executives
- Experience in ACRA / IRAS e-filing/ XBRL filing will be an advantage
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and be able to learn new software packages
